House Coordinator

Guided by the mission and Charter of L’Arche, the House Coordinator supports the overall wellness of adults with intellectual and developmental disabilities who receive care provision from L’Arche Portland. The House Coordinator reports directly to the Executive Director, and provides role supervision to the assistant (caregiver) team. The House Coordinator is a leadership role that helps foster L’Arche values and participation in the wider community. This role oversees staff scheduling, provides direct care, and works with members of the Care Team to ensure that compliance requirements are met through care related documentation and facilities upkeep.

KEY RESPONSIBILITIES

  • Schedule assistant teams and manage the calendar for L’Arche Portland’s residential group home.

    • Ensure that the direct support hours are needed for the home.

    • Respond to PTO requests in a timely manner and mentor new assistants in the How to Use PTO Guidelines.

    • Proactively schedule house events, meetings, and activities based on available staff support, core member goals, core member budgets, and transportation needs etc.

    • Schedule and ensure routine vehicle maintenance for the community vehicles. This includes ensuring gas tanks are refilled at 1⁄4 tank, and overseeing oil changes, tire pressure checks, and vehicle log reviews.

  • Supervise and mentor new assistants

    • Provide ongoing mentorship and role supervision to assistants who have completed their initial onboarding with the Recruitment and Training Manager.

    • Provide ongoing training and support to assistants, in collaboration with members of the Care Team.

    • Schedule new assistants for shadowing opportunities until they have learned all responsibilities of their role.

  • Provide direct care, assisting core members with basic needs: hygiene, health, finances, recreation, personal and spiritual growth

    • Provide direct support on average 15 hours per week including medical appointments.

    • Oversee ISP meetings, including ISP meeting preparation and document updates. Ensure ISP agreements are fulfilled and documented.

    • Share in on call responsibilities with other members of the care team.

    • Proactively attend to household cleaning chores, including laundry, cooking, sweeping, sanitizing surfaces and bathrooms, taking out the trash/recycling, and washing dishes.

  • Ensure daily operation of the home and care given to core members comply with the respective licensing regulations

    • Ensure the ordering of house supplies (medical, grocery, cleaning, etc.) on a routine basis.

    • Reconcile house debit card purchases, labeling and turning in receipts on a weekly basis. Overseeing weekly audits of core member petty cash on hand, and setting out funds for each core member per their respective Financial Plan.

    • Ensure routine medical appointments are completed and all respective documentation filed accordingly.

    • Oversee medical administration record (MAR) accuracy and medical record filing.

    • Support and participate in routine monitoring and licensing inspections.

  • Support the mission of L’Arche as a Care Team member by creating a sense of welcome.

    • Participate in weekly Care Team meetings.

    • Support a spirit of collaboration and cooperative dialogue in the home.

    • Support and co-facilitate house team meetings on a regular basis.

    • Ensure the proper welcome of guests and new community members into the home.

REQUIREMENTS FOR THE ROLE

  • Embraces the mission and values of L’Arche; previous L’Arche experience preferred

  • Good management and organizational skills

  • Strong interpersonal, oral, and written communication skills

  • Ability to work independently and collaboratively, while providing guidance to others

  • Ability to maintain confidentiality

  • Be at least 21 years old

  • Ability to lift at least 50 pounds

  • Current driver’s license and at least two years of driving experience

  • Criminal record check (completed as part of the application process)

  • Current Adult First Aid - CPR certification (completed as part of the application process)

HOURS, WAGE, & BENEFITS

  • Typical schedule: Monday-Friday 6:30am-2:30pm. This is a 40 hour/week role with the ability to pick up more hours as direct support is needed. Evening presence (and flexing the above schedule) is required at least one day a week to support house meetings, new assistant welcome, and L’Arche culture especially around meals and celebrations. The weekly evening is to be staggered with the evening that the Lead Assistant works.

  • When necessary, the House Coordinator may be asked to cover overnights in the home.

  • The House Coordinator will be compensated for overnight hours, defined as 9pm-9am.

  • Share in on call responsibilities

  • Wage: starting at $22/hour
